Assistant to VP of Communications 


​​Term: 1 year (12 months)
Role Summary:
The Assistant to the VP of Communications supports all aspects of PTA communications and marketing, working closely with the VP of Communications. Together, the VP and Assistant help to ensure clear, consistent, and timely messaging across various platforms. This role also independently manages the coordination of restaurant fundraiser nights. As a board member, the assistant should be engaged, proactive, and flexible to evolving responsibilities.

Key Responsibilities:


Schedule and coordinate restaurant fundraiser nights, including:

  • Contacting vendors
  • Managing event calendar and signups
  • Tracking participation and earnings via spreadsheet or similar tools
  • Promoting events through school communication channels


Communications Support - Assist with creation and distribution of:

  • PTA emails and newsletters
  • Flyers, posters, and other print materials
  • Social media posts and content updates
  • Collaborate with the VP of Communications on graphic design and promotional materials for school events and PTA initiatives
  • Help ensure timely communication with families and staff about PTA activities, deadlines, and opportunities


Planning & Participation

  • Attend monthly PTA board meetings and contribute to communication strategie
  • Coordinate with the VP of Communications on messaging needs and priorities
  • Serve as a secondary liaison with the school staff and administration when necessary
  • Commit to active participation as a board member and remain open to evolving responsibilities as the year progresses.


Assist with annual communication to Oregon PTA regarding communication award eligibility and applications (Refer to the Oregon PTA manual and Co-President Stephanie for details)




Vice President of Member Recruitment & Volunteers 

Term: 1 year (12 months)

Role Summary:
The Vice President of Member Recruitment & Volunteers plays a vital leadership role in growing and sustaining the PTA community. This position focuses on increasing PTA membership and building a strong, reliable volunteer base to support school programs and events. The VP ensures members feel welcome and informed and that all volunteer efforts are well organized and effective throughout the school year.  

Key Responsibilities:

Membership Growth & Engagement

  • Set annual membership growth goals (e.g., percentage increase or specific member count) based on the prior year’s total.
  • Lead an annual membership drive and ongoing outreach to encourage families, staff, and community members to join the PTA.
  • Communicate the value and impact of PTA membership through a variety of channels (e.g., events, newsletters, social media).
  • Work with the PTA Secretary to maintain an up-to-date membership roster on a monthly basis.
  • Apply for annual membership awards offered by Oregon PTA (refer to the Oregon PTA manual and consult with Co-President Stephanie for details).


Volunteer Coordination

  • Develop and maintain a database of volunteers, including availability, interests, and participation history.
  • Coordinate volunteer sign-ups for all PTA-sponsored events, programs, and initiatives.
  • Collaborate with event chairs and school staff to identify volunteer needs and assign roles accordingly.
  • Ensure volunteers are acknowledged and appreciated regularly (e.g., thank-you notes, shout-outs, volunteer recognition events).


Collaboration & Communication

  • Work closely with the Communications Team to promote membership and volunteer opportunities across platforms.
  • Provide regular updates to the PTA Board on membership trends, volunteer needs, and engagement metrics.
  • Support efforts to identify and recruit future board members and committee leads.
  • Participate actively in all PTA board meetings and contribute to strategic planning.
  • Remain flexible and responsive to the evolving needs of the PTA throughout the year.
